How do we collect information from you?

Who has access to your information?

We will not sell or rent your information to third parties.

Third Party Service Providers working on our behalf: We may pass your information to our third party service providers, agents subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to send you mailings). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties beyond CNI for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

Subject Access Request Policy

CNI is fully committed to respecting individuals’ right to access personal information held about them in accordance with section 7 of the Data Protection Act 1998
 

Subject access rights

Any individual who makes a valid subject access request is entitled to be:

  • told whether their personal data is being processed;

  • given a description of the personal data, reason for processing and whether it has been shared with any other organisations or persons;

  • given details of the source of the data (where this is available); and

  • given a copy of the information comprising the data.

Individuals are entitled only to their own personal data, and not to information relating to other people unless they are acting on behalf of that person. In these circumstances, written consent will be required.
 

Exempt information

CNI may not be able to release some information. Information which is exempt from a subject access request includes:

  • personal data where disclosure could prejudice the prevention or detection of crime

  • management forecasts/management planning

  • legal professional privilege (advice received from solicitors, for example)

  • personal data identifying another person (a third party) whose details cannot be disclosed without their permission


How to make a request

In order to make a valid subject access request the following must be provided:

  • a clear written request by letter, email or fax

  • Proof of identification may be requested to ensure that the personal information requested is provided to the right person. Two forms of ID will be required. One must be name identification (e.g. Driving Licence, Passport or Birth Certificate) and the other a form of address identification dated in the last three

CNI will comply with requests for access to personal information as quickly as is practicable, but will ensure that the information is provided within 40 days, as required by the Act. Security precautions in place to protect the loss, misuse or alteration of your information

When you give us personal information, we take steps to ensure that it's treated securely. Any sensitive information (such as credit or debit card details) is encrypted and protected.

Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. As described above, most personal information is stored encrypted in the database. The primary database is located in Monaco. The database is backed up to a separate location in France.
